Performs advanced administrative tasks and provides victim assistance duties. Coordinates, validates, and calculates information regarding crime impact on victims for the purpose of determining restitution and assisting citizens through the criminal justice system during the pendency of a criminal case.

Securely Manage Victim/Witness and Visitor Contact:

• Greet walk-in individuals, determine if they are witnesses checking in for court or arriving for an appointment or someone seeking assistance unrelated to a pending court case; gather information about their needs; use discretion and common sense to determine what type of immediate assistance is required.
• Direct visitors to check in via the Visitor Aware visitor management system.
• Allow only authorized individuals access to the locked portions of the office.
• Use databases containing confidential information appropriately and maintain strict confidentiality with information given to the public.
• Hand out expungement and consumer packets and collect and distribute completed paperwork to be picked up.
• Respond to a variety of contacts with crime victims and witnesses, Assistant District Attorneys (ADAs), victim service providers, and others to provide assistance as needed. Log effective case notes in JustWare regarding handling and actions.
• Observe visitors to the office and notify Investigations of escalating or unsafe situations.

Obtain and record restitution:

• Collect restitution from victims, insurance agencies and businesses. Collect and send initial restitution packets. Send 60-day letters to follow up if there is no response to the initial letter.
• If needed, assist victims in completing forms and inform them how to obtain necessary support documentation.
• Provide referral information to victims for alternate financial relief services, such as Crime Victims Compensation Board if appropriate.
• Determine if 3rd party entity (insurance, landlord, etc.) should be contacted for restitution information.
• Verify final restitution amounts, record those in the DA database and provide daily reports for ADAs to use in presenting restitution requests at the time of sentencing.

Administrative Tasks:

• Respond to and log effective case notes regarding a variety of contacts with crime victims, ADAs, victim service providers, and collection agencies providing factual financial information regarding status of restitution. Twice a week, print and update the Docket for the following week.
• Research current address/contact information for victims on older cases to send notification letters to those victims regarding Public Comment Sessions for possible KDOC inmate releases and for Kansas Court of Appeals and Kansas Supreme Court hearings.
• Generate and E-file motions to endorse. Mail copies of motions to endorse to the appropriate parties, when needed.
• Receive mail and sign for mail and delivery packages. Determine whether a package should be delivered to our office or not. Refuse misdelivered packages. Prepare outgoing delivery packages.
• Manage and maintain the Visitor Aware Excel spreadsheet and Visitor Aware system database, ensuring timely and accurate updates regarding employees, visitors, banned visitors, and scheduled office visits.

Minimum Qualifications: High school diploma or equivalent, including or supplemented by administrative subjects and/or bookkeeping. Two years of experience providing administrative support in an office setting, or any combination of training and experience that provides the required knowledge, skills, and abilities.

Preferred Qualifications: Five years of experience in an office setting with knowledge of court. Associate degree in accounting, business, criminal justice, or related field. Bilingual
